How to Upload a List of Contacts to WebPrez

This guide will walk you through the process of importing multiple contacts into WebPrez using a CSV file. You'll learn how to prepare your contact data using a Google Sheets template and then upload it to your WebPrez campaign. The entire process typically takes 15-20 minutes, including the time needed to prepare your contact list.


Access and prepare the Google Sheets contact template for your data


Before you can import contacts into WebPrez, you need to format your data correctly using the provided Google Sheets template. This template ensures your contact information is structured properly for the system to process.


  1. Open the FREE Google Sheets template by visiting: https://docs.google.com/spreadsheets/d/1KfTA5AJMEYzm44a1J_bOK08l2E6SCn280a_m7n10tCw/edit?usp=sharing
  2. Notice the order of the columns in the template. You'll see specific headers for contact information fields.
  3. Important: This column order must remain exactly as shown. Do not rearrange, rename, or delete any column headers.
  4. Even if you don't have data for certain fields (like Phone number), keep the column header in place. The system requires all headers to be present.


Creating your own copy of the template

Since this is a shared template, you'll need to make your own copy before adding your contact data:


  1. Click File in the Google Sheets menu bar
  2. Select Make a copy from the dropdown menu
  3. In the dialog box that appears, confirm by clicking Make a copy
  4. Your own copy of the template will open in a new tab or window


Adding your contact data and exporting

  1. Add your contact list to your copy of the template, making sure to place information in the correct columns
  2. Double-check that all data aligns with the proper column headers
  3. Once your data is complete, download the file as a CSV by going to File > Download > Comma-separated values (.csv)
  4. Save the CSV file to a location on your computer where you can easily find it


Navigate to WebPrez and create or open a campaign for your contacts


Now that your contact list is prepared, you'll need to access your WebPrez dashboard and set up a campaign where these contacts will be imported.


  1. Go to your WebPrez dashboard
  2. Click on Campaigns in the navigation menu
  3. You have two options:
    • Click New Campaign to create a fresh campaign for your contacts
    • Or open an existing campaign where you want to add these contacts

If you're creating a new campaign, you'll see options for how to begin. Click Start with a template or choose the option that best fits your needs.


Configure your campaign settings including template, schedule, and video selection


Before importing your contacts, you need to configure your campaign with the appropriate settings. This ensures your contacts will receive the right content at the right time.


Selecting your campaign template

  1. Choose your campaign type from the available options (for example, Employee Benefits or another relevant template)
  2. The template you select will determine the default messaging and structure of your campaign
  3. You can always add or remove videos from the template you start with.


Setting up your schedule

  1. Choose the day when you want your campaign to be sent out (for example, select Monday or any other weekday)
  2. Select a specific time for your campaign to be sent out each week
  3. Once you've configured the schedule, click Create to proceed


Selecting your video content

  1. Look through the videos for your campaign
  2. Keep the videos you want to include or add new ones (you can also remove videos)
  3. After making your selections, click Next to continue to the Contact import section



Import your prepared CSV file using the Bulk Import feature


With your campaign configured, you're ready to import your contact list. WebPrez's Bulk Import feature makes it easy to add multiple contacts at once.


  1. On the next section, locate and click on Bulk Import
  2. In the Bulk Import interface, click on Add File
  3. Browse to the location where you saved your CSV file
  4. Select your CSV file and click Open
  5. Once your file is chosen and appears in the interface, click Save to begin the import process


The system will now process your contact list. Depending on the size of your list, this typically takes up to 10 minutes. Larger lists may take slightly longer, but the process runs in the background so you can continue working on other tasks.


Verify successful upload and confirm your contacts are ready for use


After initiating the import, you'll want to confirm that your contacts have been successfully added to your campaign.


  1. Wait approximately 5 minutes for the upload to complete (this may vary based on the size of your contact list)
  2. Refresh your dashboard by clicking the refresh button in your browser or pressing F5
  3. Navigate back to your campaign to view the updated contact list
  4. You should see your imported contacts displayed in the campaign's contact section

Once you see your contacts in the campaign, they're ready for use. The system will automatically include them in your campaign activities according to the schedule and settings you configured earlier.


What to do if you don't see your contacts

If your contacts don't appear after 10 minutes:

  • Check your email to see if the system sent you a Success or Failure email
  • If issues persist, try re-uploading the file or contact WebPrez support for assistance


Your contact list is now successfully uploaded to WebPrez and ready to be used in your campaign. The contacts will receive communications based on the campaign settings you've configured.
